Re-Order Quantities in Sage 300cloud

The re-order quantity is the amount of inventory that causes an action to be taken to fill that inventory stock. It is a minimum quantity of inventory of an item that a company has in stock, below which the item must be reordered if the stock falls below this number.

If we wish to use the Overstocked Goods report or the Reorder Report to help you manage your inventory, we may set up reorder information (maximum, minimum, reorder, and forecast sales amounts in item stocking units) for inventory items.

To open the Re-order Quantities, navigate to Inventory Control Module à IC items and Price Lists.

The reorder quantity is specified for all locations in this example. We’d want to have at least 400 onhand. We don’t want to have more than 1600, and we can reorder in increments of 250, with a sales quantity of 1500.

You can also set from which vendor we have to reorder the quantity for a particular item.

Now after following the above you have to navigate to Purchase Order à PO Create Purchase Order à Create POs from IC.

“What are the benefits of entering reorder information?”

For different times of the year, you can store different reorder information. This is especially important if the inventory goods being purchased or sold are seasonal.

Within the calendar year, you can set quantities for as many periods as you wish. For every year you can keep an eye on your inventory virtually without any fear and keep a track of the number of units you desire in inventory, both minimum and maximum.

Data entry is unavoidable in accounting, but that work doesn’t have to take up so much time. When entering a large number of transactions, switching between your keyboard and mouse can be ineffective. It slow-down your speed of data entry and also breaks your concentration which may cause errors in entry and accounting.

Until the Sage 300cloud 2021 version, keyboard shortcuts weren’t available on web screens. But with the new release of versions, there are a set of keyboard shortcuts available on the screen that will save you time navigating and performing some functions on your Sage 300cloud web screen.

Find below lists of Keyboard shortcuts in Sage 300 Web Screen 2022 :

Enter Apply changes to the field you are editing.
Tab Go to the next field.
Fn + Pg Up Go to the top of the window in view.
Fn +PgDn Go to the bottom of the window in view.
Shift + Tab Go to the previous field.
Alt + Down Arrow Open the Finder for the field you are editing if there is a Finder.
Esc Close Finders, Pop-up screens, messages.

 

Keyboard Shortcuts to navigate and enter information in detail tables.

Enter Apply changes to the field you are editing.
Left or Right Arrow Scroll left or right in the table.
Shift + Tab Go to the previous field.

Enter Select the record that is highlighted in the table of results.

Now, if the user presses Alt + Down arrow key then it will open the finder for the invoice number field. Refer to the below image.

In the above image, we can see that the finder pop-up screen for the invoice number field is opened.

Now, if the user clicks the Esc key then, this finder pop-up screen will be closed. Refer below the image where the finder pop-up screen is closed and the Invoice entry main page is displayed.

3. Fn + End:

In the above image, we can see that the Finder pop-up screen of the Item number is opened where we can select the item for entry.

As you can see there are multiple items pages listed and we are on the first page of the items list.

Now, suppose we want to navigate to the last page of resulted items then we can use the shortcut key Fn + End.

In the above image, we can see that the Finder pop-up screen of the Item number is opened where we select the item for entry.

As you can see there are multiple items pages listed and we are on the last page of the items list.

Now, suppose we want to navigate to the first page of resulted items then we can use the shortcut key Fn + Home.

Provision for Rename and Save Report Files from Sage 300cloud

Web screens are the modernized versions of Sage 300cloud screens that you can use in a web browser which means that you can access the data from anywhere at any time.

In this blog, we will show you how to get an option to rename and save the report files in the Sage 300cloud through the Chrome browser.

In Sage300cloud if you export the report the files get saved in the default download folder named “CrystalReportViewerSage300.pdf” which is a slightly long process to edit the file name if you want to rename the file before saving it. We will show you how to rename the report file within the Chrome browser when you hit the Print button icon.

If you are using the Chrome browser follow the below steps.

1. Go to chrome settings. As shown in the below image.

2. In the search bar type “download”. As shown in the below image.

3. Then locate “Ask where to save each file before downloading” and enable those settings to get an option to save the file. As shown in the below image.

Now, here we will take the OE Order Confirmation print. Open the OE Order Confirmation screen. Go to OE module-> OE Forms-> Order Confirmation.

Then, select the order number in ‘From Order Number’ and ‘To Order Number’ fields and click on the “Print” icon to print the report. Below is the image for your reference.

Once the report is printed click on the “Export this report” Icon as shown in the below image.

After, clicking on that icon you will see the Export screen prompt. From the dropdown menu select your desired file format, here we will print the report in PDF file format. Below is the image for your reference.

Then click on the Export button to get an option for saving the file, as shown in the image below.

After clicking on the Export button, you will see the “Save As” popup window to save the file. Below is the image for your reference.

So, by doing this step you will be able to rename the reports file before saving it.

Thus, by saving the reports in default download folder, one can now get an option for renaming and saving the report files in Sage 300cloud.

A customer and organization can have different Item number for the same Item which leads to usage of Customer item number. Customer item number refers to linking of your item number to customer’s item number for the customer.

When ordering from organization, major customers frequently want to utilise their own stock numbers. You can link customer item numbers to inventory items in Sage 300 ERP.

In this blog, we’ll go through how to build up client item numbers and how to use them instead of your own part numbers to process orders.

1) Setup customer item numbers

The Customer Details screen (Inventory Control>>IC Items and Price Lists folder) is used to create Customer Item Numbers.

A single item in organisation’s inventory can have any number of client item numbers linked with it. Customer item numbers are unique to the customer and also you can define the customer’s unit of measurement, so the same number can be used for multiple things by different customers.

We have put up customer item number DESK LAMP CASE for customer 1200 and item A1-103/0 in the example.

2) Using Customer Item Numbers in Order Entry

Order Entry will replace the customer’s item number with organisation’s inventory item number and automatically put the customer’s item number in the Customer Item Number field if organisation uses customer item numbers to enter the item number on detail lines.

Using customer part number facilitates easy and faster functioning and reduces time for data entry as most of the customers provide you with their item number on Purchase Orders so instead of looking through organisation’s inventory to find out the item’s name by looking at customer’s item name, organisation can just map the Customer Item number for the customer to your Item.
To avoid any confusion, on the entry-level both your item number as well as customer item number is visible.

A positive pay system detects fraudulent checks at the point of presentment and prevents them from being paid. This means that checks that have had their payment amounts altered or which are derived from stolen check stock will be flagged by the bank. This is an effective way to stop check fraud. The basic positive pay steps are noted below.

Step 1. Send Information to Bank

The issuing company periodically sends a file to its bank, in which are listed the check numbers, dates, and amounts of all checks issued in the most recent check run. Some banks also accept files from submitting companies that contain the name of the payee for each check, which should prevent someone from illegally altering the name of the payee and having the payee issue payment to the altered entity.

Step 2. Compare Presented Checks to Payment Information

When a check is presented to the bank for payment, the bank teller compares the information on the check to the information submitted by the company. If there is a discrepancy, the bank holds the check and notifies the company

Reverse Positive Pay

A variation on the positive pay concept is reverse positive pay, where the bank sends information about its check acceptances to the company on a daily basis, and pays those checks that are approved by the company. Realistically, if the company does not approve the checks within a relatively short time frame, the bank will be compelled to pay the checks. Thus, reverse positive pay is not as effective a control as positive pay.

What is the Positive Pay System?

The Positive Pay System, developed by the National Payments Corporation of India, is a process of reconfirming the key details of large value cheques. Under this system, a person issuing the high-value cheque submits certain essential details of that cheque like date, name of the beneficiary/payee amount etc. to the drawee bank. The details can be submitted through electronic means such sas SMS, mobile app, internet banking, ATM etc. The details are cross-checked while issuing the cheque and any discrepancy is flagged.

What is the limit on the amount for the system?

RBI has told banks to enable the facility for all account holders issuing cheques for amounts of ₹50,000 and above. It has also said that while availing of the facility is at the discretion of the account holder, banks may consider making it mandatory in case of cheque values of ₹5 lakh and above.

Why is this system important for customers?

Some banks have been telling customers that if the details of large-value cheques are not pre-registered, the cheque will be returned, unpaid. On issuance of a high-value cheque, customers should ensure that details are provided within the timeframe prescribed by the banks for hassle-free clearance. RBI has said only cheques that are registered in the Positive Pay System will be accepted under the dispute resolution mechanism. Customers would get an SMS on whether the cheque is accepted or rejected for any reason.

Account number, cheque number, date of cheque, amount, transaction code, beneficiary name, MICR CODE.

How can these details be submitted?

These details can be submitted through the respective bank’s website, internet banking or mobile banking. In case a customer does not use electronic banking services, they can submit the details by visiting bank branches.

How can we configure Positive Pay Module in Sage 300 Cloud

There are three Menu Types in Positive Pay i.e. User Configuration, Transaction Upload Screen and Transaction Upload History. In this blog we will explain how to configure User Configuration Screen in Positive Pay Module

We need to add Menu Type i.e. User Configuration in From Bank Services à Bank Transactions Menu

After adding the Menu, we need to Configure Bank details in User Configuration Screen. We need to select Bank Name from the finder button. After selection of Bank name, we need to select Output File format as per the requirement. Then we need to configure Bank Details for e.g. Account Number, Check Number, Check Amount, Check Date, etc. (these all details we can define as per client’s requirement). Once we entered all bank details then we need to define Upload Path where our Output File will be export.

One of Bank details i.e. Account Number where we can add details of Bank Account Number as per the requirement. Like this we can add multiple fields in User Configuration Menu.

Once we update all require bank details then we can pass an entry and can check record in Transaction Upload Screen.
